Work Schedule/FLSA Status: Full-time 12-Month / Hourly Non-exempt / Monday-Friday 8:30 a.m. to 5:00 p.m.
Salary Schedule: This is a negotiated position. Compensation and benefits are administered in a manner consistent with the negotiated agreement. Salary grade 36F starts at $22.09/hour.
Position Purpose: Student Records Management or Quality Assurance Team. A position on the Student Records Management Team in Student Information Services involves responding to requests for records in person, on the phone or electronically, in compliance with the Family Educational Rights and Privacy Act (FERPA). It also includes the purging and archiving of cum folders and other student records. A position on the Quality Assurance Team involves creating, updating and monitoring student households, assisting the Placement Office in the enrollment of students and maintaining records for accuracy related to State Reporting. Confidentiality of all student records is required by FERPA and by district policy. Experience with Infinite Campus is highly preferred.
Essential Performance Responsibilities:
- Process online enrollments in Infinite Campus.
- Create students, parents, staff and other persons in Infinite Campus (the student information system).
- Create and modify complex household structures.
- Enroll students in schools using state-mandated setup.
- Maintain and update address data in Infinite Campus based on the Douglas County Assessor’s database.
- Using ad hoc queries and custom reports, identify and correct inaccurate data.
- Read and understand legal documents in conjunction with guardianship.
- Recommend process changes, trainings and/or quality assurance checks for frequent errors made by staff.
- Provide support to school secretaries and other school staff regarding Infinite Campus and SIS processes.
- Retrieve data from the Nebraska Dept of Education (NDE) and Health and Human Services website for the updating of students in the foster care system and exempt school program.
- Provide data to the NDE system for creation of state IDs.
- Monitor the location and distribution of student records across all past OPS systems, including paper, mainframe, SASI and Infinite Campus.
- Investigate and collect records for public records requests connected with students.
- Prepare records for document storage and for release of records using Tools in Adobe Pro
- Scan and upload files into the student information system and the archival records system.
- Have working knowledge of Family Education Rights and Privacy Act (FERPA) and the Nebraska Public Records Act.
- Locate and prepare student records for release to authorized requestors, school districts/universities and attorneys/courts in compliance with subpoenas.
- Work with the public to provide student records, verifications, duplicate diplomas and work permits.
- Use ad hoc queries and custom reports to produce student lists for school photographers, community partners and the military.
Additional Duties Performs other related tasks as assigned by supervisor and other central office administrators as designated by the Superintendent.
Equipment: This position requires the ability to use basic office equipment such as computers, copiers, scanners, and microfilm & microfiche readers. Must always comply with OPS’s guidelines for equipment use.
Travel: Travel within the District may be required.

- Ability to lift, move and reposition objects and materials - frequently exerting force equal to lifting 20 to 40 lbs.

- Contact with personnel within the district and with customers and vendors.
- Will be working under the direct supervision of the department supervisor in order to complete day to day tasks.
- Will be working with a diverse population requiring the ability to handle all situations with tact and diplomacy.
- Must understand and respond appropriately to customer needs and maintain a positive attitude with all customers and colleagues.
- Expected to interact with all internal and external customers in a friendly, professional manner and provide quick, responsive customer service.
Employee Punctuality and Appearance
- In order for schools to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave.
- Any deviation from assigned hours must have prior approval from the employee’s supervisor or building administrator.
- All employees are required to report to work dressed in a manner that reflects a positive image of Omaha Public Schools and is appropriate for their position.
Knowledge, Skills, and Abilities:
- High School diploma or GED required.
- Knowledge of the Infinite Campus student information system, preferred.
- Previous office experience dealing with student records and dealing with the public and district staff in person and on the phone.
- Ability to complete tasks using complex reasoning skills.
- Exceptional attention to detail.
- Ability to speak Spanish, preferred
- Knowledge of Adobe Pro, preferred.
- Ability to interpret and carry out written and oral instructions and procedures.
- Proficient and accurate keyboarding skills for data entry of student records.
- Exceptional organizational skills.
- Outstanding attendance and prior work record.
- Ability to work independently and to meet demanding work schedules.
- Ability to work cooperatively and maintain positive harmonious working relationships with fellow staff members to promote a team approach.
- Ability to communicate in person with public and school personnel using tact and courtesy.
- Ability to maintain strict confidentiality of information in compliance with FERPA.
- Data entry using Microsoft Office applications
- Ability to retrieve records from Web based applications.
Terms of Employment
This position is treated as a full-time non-exempt classified position. The terms of your employment will be governed by applicable state laws regulating employment in a Nebraska public school and Board of Education policies, as those laws and policies may change from time to time. If your position is represented by a collective bargaining representative, then your employment will also be governed by a negotiated agreement between OPS and that collective bargaining representative.
